Important Notice
As of July 10, 2007 (one month from the opening meetings of TC 37 in Provo), we are passing into a different phase of lodging arrangements:
If you already have requested a reservation, you should receive, by July 11th, an e-mail that includes the information you need to re-confirm your reservation on-line (your name as it appears on the reservation, the hotel code -- Super8 or Courtyard -- and your confirmation number). If you have your confirmation information, please visit the confirmation page for your hotel (http://www.marriott.com or https://www.super8.com/Super8/control/Booking/retrieval) to re-confirm your reservation, checking the arrival and departure dates and the room rate but ignoring the cancellation information, which does not apply to a block of discounted rooms.
If you cancel after the end of this week (Friday, July 13th), you will be charged for the first night of your stay anyway. No hotel reservations made in the TC37 block can be cancelled after the end of this week (Friday July 13th) without this penalty. If you discover after this week that you cannot come to Provo next month, there is an alternative to paying the penalty. Instead of cancelling with the hotel, contact us. We will put you on a list and if someone else needs a room, we will put that person in your room and change the credit card information to their credit card. That way, you may not have to pay the penalty for cancelling less than one month from the event.
If you have not already requested a reservation, there are still a few hotel rooms available at $79/night for the two-star hotel (Super8) or $139/night for the three-star hotel (Courtyard), but we must receive your reservation fax by the end of this week (Friday July 13th).
If do not have a reservation and cannot make a decision by the end of this week, you have two options:
(1) You can request a reservation in the student dormitories (only available from Saturday evening August 11th until Saturday morning August 18th -- there is another group the week before and yet another group the week after). Today (July 10th), we reserved two whole buildings, Young Hall for women and Kimball Hall for men. Each building has 11 apartments, each with three bedrooms and one bathroom. The cost is $27/night ($189 for the week). You can also share a room with someone (separate beds) for $18/night each. We can hold rooms at the student dormitories until August 1st without a credit card and in some cases even longer.
(2) You can book a hotel room at the regular price and outside the TC37 block, which might allow you to cancel your hotel up to the day before check-in without being charged (review each hotel's cancellation policy if planning to take this option). Naturally, the trade off for greater freedom to cancel a reservation is a significantly higher price for the hotel room.
Additional information:
Smoking: Neither hotel has any smoking rooms. Both rooms follow the uniform state policy, which is becoming common in the United States: to smoke you must be at least 25 feet (about 8 meters) from the outside wall of the building, standing in the parking lot. For the student dormitories, it is more difficult: you must walk off the smoke-free campus: about one kilometer. Please keep this in mind as you choose your accomodation.
Coffee: There is no coffee served on campus, but the Courtyard serves pretty good coffee and the Super 8 serves not-so-good coffee. We might try to bring some better coffee to the Super 8 each morning.
The US TAG has arranged for several blocks of hotel rooms at significantly reduced prices and within easy walking or shuttle distance of the meeting venues. Bear in mind that early registration is a must, not only to ensure good rates, but just to ensure a room in one of these convenient hotels. There will be considerable competition during the period of our meetings, from other conferences, a university granduation event, and people arriving early in Provo for a major university-wide conference the following week.
Each hotel will charge an 11% hotel tax.
Each hotel provides a swimming pool, so be sure to bring a swimming suit and cool off from Utah's August heat (the 2007 July temperatures have been making headlines and breaking records. We hope August will be a little cooler but I'm sure a dip in the pool will be very refreshing).
Each hotel provides free internet (Wi-Fi) access for guest use.
Option 1
"Budget" quality, motel-style lodging (rated at 2 stars, but very clean, roomy and pleasant), within 5 minutes of campus
Price ranges, dependent on availability and our agreements with the hotels:
$49 - $79 per night
Note: This is a per-room rate; double-occupancy does not require an additional fee, but do indicate whether you specifically need two beds. American hotel rooms with one bed do typically accommodate couples comfortably, but roommates may prefer two beds.

Option 2
Rooms in a three-star international chain: 10 to 15 minutes from campus, shuttle service, free van service.
$139/night
The hotel will not reserve rooms for any nights beyond Sunday, August 19th. If you plan to stay longer than the 19th you will need to make reservations elsewhere.
Free van service to on-campus meetings
Blocks available up until July 11th, at which point the prices rises to $200 per night, provided there are any rooms left.

Guests may check in after 7:00 p.m. Saturday, August 11, 2007 and must depart by 9:00 a.m. on Saturday, August 18, 2007. The cost of these accommodations is $189.00 per guest for the entire week.
Please note that all dorm rooms are subject to BYU university rules for student housing.

The organizing committee is responsible for placing the actual registrations with the hotels. We are not collecting fees for hotel reservations, but we do need to provide the hotels with a credit card number for each reservation. Therefore we are requesting that you download the hotel registration form and that you FAX it to our secure fax machine in order to ensure secure handling of credit card numbers.
Please print and fill out the Hotel Registration Form and then fax it to Dr. Alan Melby (instructions are printed on the form).
